Is Stockpile PM built specifically for civil construction?

Accepted Answer

Yes — every module is designed around Australian civil construction workflows, but "civil" is broad. It covers earthworks, pavement, stabilising, spray seal, asphalt, drilling, drainage, concrete, bridges, mining services, landscaping, traffic management, rail and marine civil. Our ITP library covers QLD TMR, TfNSW, VicRoads, MRWA, MRTS, AS standards and more. Cost tracking follows standard civil cost codes you can customise per discipline.

Does it work for sole operators or only big contractors?

Both. The Starter plan is built for 1–5 users (owner-operators and small crews) — same platform, scoped pricing. The Enterprise plan adds multi-entity group accounts for principal contractors managing multiple branches. Role-based access (General User → Foreman → Supervisor → PM → Plant Mgr → Admin) means you only enable what you need.

Can I import my existing ITPs and specifications?

Yes. You can import ITPs from Excel spreadsheets directly into the platform. Each item maps to lot numbers, hold/witness points, and test requirements. The system supports both our pre-built library and your own custom inspection plans.

Question 4

How does the plant rate engine work?

Accepted Answer

Enter your machine details — purchase price, fuel consumption, service intervals, tyre costs — and the engine calculates true cost per hour including depreciation, overheads, and operator costs. Charge-out rates flow directly into your tender rate library.

Does it integrate with my accounting software?

Accepted Answer

Stockpile PM supports GL code mapping compatible with both MYOB and Xero chart of accounts. Plant expenses, fuel dockets, and service records auto-create GL-tagged entries you can export for your accountant.

What about mobile access for my field crew?

Accepted Answer

The platform is fully responsive and works on any device. Foremen can complete daily diaries, prestarts, SWMS sign-offs, and quality inspections from their phone or tablet on site. No separate app download needed — and it works offline: forms save on the device when you're out of coverage and sync automatically once you're back in range.

Is the driver work diary an approved Electronic Work Diary (EWD)?

No — and we're upfront about that. The Stockpile PM work diary is a compliance helper, not an NHVR-approved EWD, so drivers subject to HVNL fatigue law must still keep their official work diary. What it does: captures day start, breaks and day end with GPS, emails a formatted day sheet to your nominated addresses at end of day, raises real-time alerts on break and hours flags, and keeps the timestamped fit-for-duty declarations that operators need under the expanded HVNL unfit-to-drive duty that commenced 1 August 2026.

How is pricing structured?

Plans are flat monthly rates based on team size. Foundation rates (extended — available until 31 December 2026): Starter (5 users, $199/mo), Growth (12 users, $419/mo), Scale (25 users, $769/mo). Client/viewer accounts are free. Subscriptions starting from 1 January 2027 are on the standard schedule, roughly 30% higher.

What is Foundation Customer Pricing?

We've extended the Foundation window: sign up before 31 December 2026 as a Foundation Customer and your subscription stays at Foundation rates for two full years from your sign-up date. After the lock period your plan moves to whatever the current schedule is at renewal. There are no price rises, no surprise increases, and no contract minimums during the lock period — you can still cancel any time. Foundation Customers also get earlier access to new modules as they ship.

What about contract notices and letters?

Built-in letter templates for EOTs, RFIs, Variations, and General Notices — pre-formatted with your company letterhead. Weather delays can auto-generate draft EOT requests using live weather data from the Bureau of Meteorology.

How is my data secured and where is it hosted?

All data is encrypted in transit (TLS 1.2+) and at rest (AES-256), hosted in Google Cloud's australia-southeast2 region (Melbourne). Each company's data is fully tenant-isolated via Firestore Security Rules with a companyId claim baked into every auth token. We support optional MFA enforcement, full audit trails on financial mutations, and inherit SOC 2 Type II / ISO 27001 / ISO 27017 / ISO 27018 from Google Cloud. Can my workers see their own schedule?

Yes. Admins can opt in to a "My Schedule" view that shows each worker their upcoming assignments — configurable lookahead window (1, 3, 7, 14 or 30 days), with optional crew avatars, project addresses, and start/finish times. Off by default; enable per company in Admin Settings. Roles can be excluded individually (e.g. clients).

Can Stockpile PM help us achieve certifications and track compliance?

Accepted Answer

Yes. Every prestart, inspection, maintenance record, training log and machine logbook entry is captured against the plant item and the person, with sign-offs and a full audit trail. When you pursue certifications such as ISO 9001, 45001 or 14001 — or client and agency prequalification — the evidence is already organised and exportable, and dashboards surface compliance gaps (overdue services, expired competencies, missing inspections) before an auditor does.

How does GPS sign-on work?

Each project gets a unique QR code. Workers scan it on arrival, the app captures GPS coordinates with the timestamp, and signs them on. The Sign-on Map (Supervisor+) shows everyone currently on site as live pins, colour-coded by status, with auto-refresh every 60 seconds. GPS coords are stored against every sign-on for compliance and dispute resolution.
